Vidiots Foundation is looking for a part-time Administrative Coordinator to join our team!


We’re a women-founded 501(c)3 non-profit for and by film lovers, filmmakers, and everyone curious about cinema. In June 2023, thirty-eight years after first opening as an alternative video store in Santa Monica, Vidiots reopened at a new home, the historic Eagle Theatre in Northeast Los Angeles. Vidiots’ new home, a nearly-11,000 square foot film exhibition, entertainment, and education space, includes a 271-seat state-of-the-art cinema, Vidiots’ 60,000-title film and media library for rental, and a flexible, state-of-the-art micro-cinema and community space for screenings and a variety of intimate community events, and more. 

Vidiots’ Administrative Coordinator will be a key member of our team, and may have assignments across multiple departments, but will primarily report to and work most closely with Vidiots’ Events Team and Executive Director.

What you’ll do:

Work closely with Vidiots’ Events Team and Executive Director to:

  • Help to create and maintain organizational systems intended to streamline paperwork and scheduling related to both external and internal events 
  • Support creation and tracking of invoices related to event rentals and partnerships
  • Assist with a variety of administrative tasks to help keep our small, hard-working team well-organized

 

What you’ll bring to the table: 

Required Qualifications

  • Minimum five (5) years of experience in administrative coordination/assistance for an arts organization/independent company and/or brick-and-mortar business
  • Understanding of and comfort with basic invoicing and accounts tracking
  • Excellent proof-reading skills 
  • Excellent written and verbal communication skills
  • Positive, professional disposition and enthusiasm for working in a team-oriented setting
  • Strong attention to detail and excellent time management skills 
  • Comfort using Microsoft Office (Excel, Word, PowerPoint ); Google Apps, specifically Drive, Docs, Spreadsheets, and Calendars; knowledge of Google Adobe Creative Suite is a plus
  • Ability to work in a fast-paced environment with multiple teams in a brick-and-mortar, customer-service oriented space

 

Desired Characteristics and Qualities

  • Desire to work in a customer-service oriented non-profit organization
  • Strong understanding of the importance of physical media and the theatrical experience
  • Capacity to balance short-term needs with longer term vision

 

Work Environment:

  • 20 hours-a-week role, work-from-home, with flexibility for both in-person and Zoom meetings, and regular phone calls and email communication 
  • Based in L.A. area

Compensation:

  • $20/hr
  • CalSavers retirement program
